ENCLUDE, a charity providing IT system consultancy and support to other charities, is looking for a dedicated Training and Support officer, reporting to the Technical Support Manager

The primary focus of this role is to provide end user training on our customised Salesforce CRM systems. As part of this role, end user documentation should be designed and delivered to the customer.

The End User Training and Support Officer is also expected to work with the Support team to explore and develop on-line training options for end-users.

They will also as part of the Support team be expected to help handle ad-hoc customer queries on the phone or via email, and ensure that all requests for support are captured and closed out to the satisfaction of customers by liaising with senior consultants as required to resolve complex support issues.

Candidates should be able to work well as part of a team, and should have

  • Training experience
  • Strong customer focus
  • Affinity with the non-profit sector
  • Excellent communication skills
  • Be able to produce good quality documentation
  • Comfortable learning new systems
  • Methodical approach to resolving customer issues

ENCLUDE, a charity providing IT system consultancy and support to other charities, is looking for a dedicated Technical Support person, reporting to the Technical Support Manager, with the potential to grow into the role of consultant.

The primary focus of the technical support role is to handle ad-hoc customer queries on the phone or via email, and ensure that all requests for support are captured and closed out to the satisfaction of customers by liaising with senior consultants as required to resolve complex support issues.

The type of support to be provided covers cloud based office-productivity software including Salesforce, Microsoft Dynamics and Microsoft Office 365.

The support role includes the development of useful support documentation as well as participation in the review and testing of systems being rolled out to clients. It may also include participating in or managing small projects that come outside of the scope of day to day support.

Candidates should be able to work well as part of a team, and should have

  • Strong customer focus
  • Demonstrated technical skills (either a degree in a relevant subject or the equivalent on the job experience) , and ability to learn quickly
  • Affinity with the non-profit sector
  • Excellent communication skills
  • Be a strong team player
  • Be able to produce good quality documentation
  • Experience with administration of Microsoft Dynamics, Salesforce or Microsoft Office 365 would be an advantage
  • Experience of Java programming would be an advantage
  • Familiarity with database design concepts would be an advantage

LOCATION: Drumcondra Dublin 9

RESPONSIBLE TO: Donations Programme Manager and CEO

CONTRACT TYPE: This is a full time (37.5 hours per week), 11 month contract (with possible extension) to cover maternity leave, commencing April 2016.

ENCLUDE

ENCLUDE is an independent non-profit IT consultancy service to the Irish non-profit sector. It was established in 2006 and it delivers services to a wide range of voluntary, community and development organisations.

The ENCLUDE mission is to bring affordable, trustworthy systems and IT consultancy to Irish charities and to offer technology donations through their ENCLUDEit Programme.

Job Purpose:    The role of the Programme Officer, is to work with the Donations Programme manager in the successful running of the ENCLUDEit Technology Donations Programme and to provide administrative support within the ENCLUDE team for all other programmes.

Role:

Promote the ENCLUDEit Technology Donations Programme to charities

  • You will be responsible for the attainment of the ENCLUDEit programme monthly targets
  • Work alongside the Donations Programme Manager to creatively market the Donations Programme to Irish charities through its 10th anniversary year in Ireland

Programme Administration & Support

  • Ensure the ENCLUDEit programme is running five days a week with phone and email support
  • Support charities through the registration, qualification process and through process of accessing their donated software
  • Advise callers of all products and services available to them from ENCLUDEit and support charities to select product choices and orders to derive maximum benefit from the donations on offer
  • Process orders (including checking the bank, order release, unpaid orders and lodging of payments)
  • Monitor monthly registrations, qualifications and orders against targets and take action to ensure outcomes are in line with monthly targets
  • Provide monthly and annual reports as required

Office Administration

  • First point of contact for all incoming calls and update database accordingly
  • Manage the multiple company email addresses and respond promptly to all emails
  • Sales – advise callers of all products and other services available to them from ENCLUDE
  • Update the ENCLUDEit.org and Enclude.ie websites
  • Update the ENCLUDE social media sites including Facebook and Twitter
  • Work with Enclude 10 marketing team to deliver Enclude 10th anniversary promotional plan
  • Perform general office duties, including incoming post, stationary ordering, VOIP system and ordering of utilities
  • Provide administrative support to other ENCLUDE teams including
    • Finance – processing of invoices, payments and lodgements
    • Staff meetings- take minutes
    • PA assistance to senior staff as required
  • To carry out other tasks, consistent with your position, as requested by the ENCLUDEit Donations Programme Manager or the CEO

Required Experience

Essential

  • Third level qualification in relevant area
  • Proven ability to both work independently and as part of a team
  • Interest in and commitment to the non-profit sector

Desirable

  • 3-4 year’s work experience in an administrative role or a sales/marketing role

Required Skills

Essential

  • Excellent administrative and organisational skills, including proven capacity to multi-task
  • Excellent interpersonal skills, combining good oral and written communication skills
  • Expertise with MS Office

  • Knowledge of using Salesforce
  • CRM

Digital Media Officer ( Volunteer Position)

3 month volunteer placement (with possibility of extension) 3-5 hours p/week.

Location: Drumcondra, Dublin 9

The ENCLUDE Digital Media Officer’s role will be to develop a digital media strategy to increase awareness of ENCLUDE’s Technology Donation Programme amongst Irish charities.

This is a volunteer position, and as such will be unpaid.

The Role: The Digital Media Officer will work with and support the ENCLUDEit Technology Donations Programme team. They will be responsible for leading the development of a digital media strategy.

Primary Responsibilities:

  • To lead the development of a digital media strategy to promote the Technology Donations Programme to Irish Charities
  • To work with other members of the ENCLUDEit team to implement the digital media strategy
  • To create content for various digital media platforms ( e.g. Facebook, Twitter and ENCLUDE website)
  • To assess how best Google for NonProfits ( including Google Adwords grants) can assist the work of ENCLUDE, devise a work plan for this and implement it
  • To carry out an evaluation of the digital media strategy
